Property Management

Aula was established on 20 February 1991 by Frik & Dolette van Wyk. Our doors opened on 1 April 1991 and during the period of 31 years in business, we proved that we are a stable and professional company and one of the few estate agencies from the nineties to be still in business. We differentiate ourselves from other managing agents by offering the following:

 

  • Separate bank accounts for each complex, estate or office block;
  • Bank account viewing options for the trustees;
  • Annual negotiations with the bank for preferential interest rates;
  • No hidden costs;
  • Full site inspections conducted by the Portfolio Manager or assistant on a quarterly basis;
  • Negotiations with the auditors to secure affordable audit fees;
  • EAAB requirements in respect of the trust fund, audited by an external auditor, and submitted electronically;
  • Registered member of NAMA.

 

Our property management portfolio consists of numerous complexes, which include Sectional-, Full titles and Home Owners Associations. Our portfolio varies between small complexes to a HOA Estate with 295 units. No business is too small or too big for us! Our property management is not limited to residential properties. We manage various office blocks in Centurion.

A newsletter is sent to all owners on a monthly basis. Our knowledge on various interesting and relevant topics, such as changes in legislation, the use of generators, maintenance of geysers, rules and regulations in the complex and much more, is shared with our clients.

 

 

A comprehensive service is delivered to our clients

 

Administration of the bank account:

  • An account (current of savings account) is opened in the name of each and every Body Corporate as per Sectional Title Act.
  • Viewing facilities are available for the trustees, enabling them to view the bank account at any time.

Insurance:

  • The trustees/directors are being assisted in the determination of replacement values.
  • Insurance of buildings and any other insurance the body corporate may require are arranged.
  • A dedicated support service broker assist with insurance claims on behalf of the body corporate.

Maintenance:

  • Assistance to the trustees/directors by drawing up specifications for maintenance work to be done in a complex.
  • Maintenance of the common property.
  • General deliveries.
  • Assistance with the transport of lawnmowers and other equipment.
  • Regular site inspections by the Portfolio Manager.

Finances:

  • Pastel Accounting Systems is used to record all the financial information.
  • Monthly management reports are sent to the trustees to make proper financial decisions.
  • A qualified Pastel consultant is used as backup support.
  • Collection of levies and other income due to the body corporate.
  • Payment of salaries, wages, PAYE & UIF is managed by AULA RENTALS (Pty) Ltd.
  • Credit control: collection of arrear levies up to the point of commencement of litigation.
  • Preparation of annual estimate of income and expenditure to the trustees and body corporate for approval and to determine the monthly levies.
  • Arranging of annual audit with the external auditors of the body corporate.
  • Submission of the audited statements to the members of the body corporate at the annual general meeting.

Secretarial:

  • Assisting and advising the trustees/directors on the enforcement of the rules of the complex.
  • Attending the Annual General Meeting of the body corporate.
  • Arranging and taking minutes at the Annual General Meetings.
  • Attending quarterly directors/trustee meetings by arrangement.
  • Storing of minute books, attendance registers, and the register of sectional bondholders, sectional plans, rules, house rules, insurance policies and all other permanent records.
  • Assisting the trustees/directors on procedural matters, such as general meetings, special general meetings, quorums, proxies, resolutions, voting rights.
  • Attending to proxies, nominations, agendas.
  • Preparing and dispatching notices as required by Act 8 of 2011: Sectional titles Schemes Management Act 2011.
